Work / Workflow Automation
Case Study 04
Manual work removed at both ends of the funnel
Two automations, one principle: turn repeated manual work into documented, reliable workflows. An internal browser tool made lead capture a one-click step, and a branching nurture program took recurring sends and task creation off the team's plate.
Part 1 · Data-capture tool
The manual problem. Capturing contact records from our licensed B2B data platform into campaign-ready spreadsheets was field-by-field copy-paste. Slow, error-prone, and mind-numbing at list-building volume.
The automation. An internal browser extension that captures the visible contact record, parses it, and appends it to a persistent, CRM-ready CSV. It splits full address strings into City, State, and Country, maps every field to a configurable spreadsheet column so exports open pre-aligned to the CRM import template, and keeps an editable lead store with sensible defaults (direct phone preferred over switchboard). Five documented versions shipped, each driven by daily use.
- Field-by-field copy-paste, roughly a minute per contact
- Frequent column-alignment and formatting errors
- A reformatting step before every CRM import
- One click per contact into a CRM-ready CSV
- Consistent columns and parsed addresses every time
- Exports open pre-aligned to the import template
Faithful reconstruction of the v5.2 panel: fields, buttons, and column-mapping status as shipped. Contact data is fictional.
Part 2 · Nurture workflow automation
The manual problem. Nurturing a large private-equity prospect list meant recurring manual sends, follow-up task creation, and status updates. Repetitive work that competed with campaign development.
The automation. A branching marketing-automation program that runs the sequence end to end:
- Manual follow-up setup for every batch
- Repeated task creation by hand
- Inconsistent routing and timing
- Branch logic routes prospects automatically
- CRM tasks created for sales on schedule
- 1,100+ prospects managed in one program
Outcome
List-building keeps pace with campaign volume without a cleanup step, and recurring sends and task creation no longer take anyone's week. Sales gets follow-up tasks queued automatically, and improvements to the tool are traceable because every version is documented.
